Terms & Conditions for the Provision of Tuition

PART 1 — GENERAL & ADULT TUITION


1. Entry Requirements

Unless otherwise agreed, students attending regular courses on our school premises must be aged 18 years or over.

2. Payment of Course Fees

Our group courses depend on a minimum number of enrolments.

To confirm participation and ensure the course runs, full payment is required before the course begins.

A payment request will be sent in advance. A place is only guaranteed once payment is received.

Courses cannot be paid for on a per-lesson basis.

3. Cancellations, Credits & Refunds – Group Courses

Once a course is confirmed, no refunds will be issued. This policy ensures the course can proceed as planned and respects the commitment of all enrolled students.

At our discretion, we may offer credit toward a future course term. Credits apply only to group courses unless otherwise agreed in writing. Credits must be used within two subsequent terms. An administration fee may apply.

No refund or credit is offered for missed classes.

If a student wishes to switch from a group course to private tuition, any remaining credit may, at our discretion, be applied toward a private tuition package.

If a course cannot run due to low enrolment, we may offer:

  • A shortened course

  • A smaller group (at no extra cost to you)

  • A refund, if no alternative is suitable

3.1 Illness and Personal Circumstances – Group Courses

We understand that genuine personal circumstances – such as illness, family emergencies, or caring responsibilities – may prevent a student from continuing a course.

In such cases, where written notification is provided at the time and valid personal circumstances are demonstrated, we may at our discretion offer a credit toward a future course term. No cash refund will be issued. Credits will not be issued where no communication has been received or where circumstances do not constitute a valid personal reason.

3.2 Attendance Policy – In-Person Group Courses

A minimum attendance of 75% is required for in-person group courses. This ensures continuity of learning for all students in the group.

Students who fall below this threshold due to valid personal circumstances (such as illness, family emergencies, or caring responsibilities), and who have notified us in writing at the time of each absence, may be offered a credit toward a future course term at our discretion.

Students who fall below the attendance threshold without valid reason or without communication will not be entitled to a credit or refund, and may be asked to leave the course.

3.3 Online Course Catch-Up

For online group courses, lesson recordings may be made available to enrolled students for catch-up purposes. These recordings are provided solely for the personal use of the enrolled student and must not be shared, distributed, or reproduced in any form.

4. Private Tuition

Private tuition is offered in 1-to-1 or small group format, either in person or online.

4.1 Payment and Lesson Packages

Payment is to be made in advance in blocks of hours or sessions, as agreed. Tuition will be scheduled once payment is received.

Lesson packages must be completed within the following timeframes from the date of the first lesson:

  • 5-lesson package: within 2 months

  • 10-lesson package: within 3 months

Any sessions not completed within this period will be forfeited unless an extension has been agreed in writing in advance.

A full refund is available if a package is cancelled before the first lesson takes place. Once the first lesson has been completed, no refund will be issued for any remaining sessions. At our discretion, unused sessions may be credited toward a future package.

4.2 Cancellations

Lessons must be cancelled with a minimum of 24 hours’ notice to avoid being charged in full.

If the teacher needs to cancel, an alternative date and time will be offered.

Repeated short-notice cancellations may result in the loss of priority scheduling or discontinuation of tuition.

5. Public Holidays

If a scheduled lesson falls on a public holiday, the course will be extended unless otherwise agreed.

6. Photos and Recordings

Love Live Italian may occasionally take photos or videos during lessons, events, or workshops for promotional use (website, social media, printed materials).

Adult students who do not wish to appear in photos or videos must inform the school in writing.

6.1 In-Person Lesson Recordings

In-person lessons — whether 1-to-1 or group — will not be recorded by the teacher. This ensures lessons run smoothly and without interruption, and allows both students and teachers to engage fully in the learning experience.

6.2 Student Recordings

Students are not permitted to record lessons or take photos or videos during class without prior permission from the teacher and other students.

Persistent or unauthorised recording may result in removal from the course or termination of tuition without refund.

7. Student Conduct

We strive to create a respectful, inclusive learning environment. Students are expected to:

  • Arrive punctually and engage constructively

  • Show respect to fellow students and tutors

  • Avoid behaviour that is disruptive or inappropriate

Failure to follow these guidelines may result in removal from a course without refund.

Our teachers each bring their own teaching style and approach, which we believe enriches the learning experience. 8. Liability of Love Live Italian

Love Live Italian is responsible for delivering tuition and related services to a reasonable standard.

However, we accept no liability for:

  • Personal injury, loss, or damage sustained during in-person lessons, on school premises, or at any venue used for tuition, except where directly and solely caused by our own proven negligence

  • The behaviour or actions of other students during group lessons

  • Any disruption, loss of progress, or dissatisfaction arising from differences in teaching style or approach

  • Events beyond our reasonable control (force majeure), including but not limited to illness, venue closures, or technical failure

Where lessons take place at a third-party venue, Love Live Italian accepts no responsibility for the condition of the premises, furniture, or equipment provided by that venue. Any concerns regarding venue safety should be raised with the venue directly.

Students and parents or guardians are encouraged to notify us immediately of any safety concerns so these can be addressed promptly.

9. Online Lessons

Online tuition is delivered via video call on a platform agreed in advance (e.g., Zoom, Google Meet, or similar).

Students are responsible for ensuring they have a stable internet connection, a functioning device with a camera and microphone, and a quiet, suitable environment for learning.

If a lesson is interrupted or cannot proceed due to a technical issue on the student’s side, the lesson will be considered delivered and no refund or makeup session will be offered.

If a technical issue on the teacher’s side prevents the lesson from taking place, a makeup session will be offered at a mutually agreed time.

10. Intellectual Property

All course materials, worksheets, exercises, recordings, and content provided by Love Live Italian remain the intellectual property of Love Live Italian.

Students may use materials for their own personal learning only. Reproducing, distributing, selling, or sharing materials with third parties — in any format — is strictly prohibited without prior written consent.

If it is found that a student has shared course materials without authorisation, Love Live Italian reserves the right to issue a warning or remove the student from the course without refund, at the school’s discretion.

11. Teacher Changes

Love Live Italian reserves the right to assign a replacement teacher where necessary due to illness, absence, or other circumstances. We will endeavour to ensure continuity of learning and notify students as soon as reasonably possible.

No refund or credit will be issued solely on the basis of a teacher change, provided tuition continues to a reasonable standard.

12. Complaints Procedure

We are committed to resolving concerns promptly and fairly. If you have a complaint, please contact us in writing at info@loveliveitalian.com.

We will acknowledge your complaint within 5 working days and aim to provide a full response within 14 working days.

13. Termination by Love Live Italian

Love Live Italian reserves the right to terminate tuition or remove a student from a course in cases of misconduct, non-payment, or repeated breach of these Terms & Conditions. In such cases, no refund will be issued for any remaining lessons or sessions.

14. Privacy and Data Protection

We handle all personal data in line with UK data protection laws (UK GDPR).

Personal data collected at enrolment, including emergency contact details, is held securely and used solely for the administration of your course and your safety whilst attending lessons.

We never share personal information with third parties without consent.

15. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising from or related to these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

16. Amendments to These Terms

Love Live Italian reserves the right to amend these Terms & Conditions. Any changes will be published on our website and apply to future enrolments.

PART 2 — CHILDREN’S TUITION

The following policies apply specifically to tuition involving students under the age of 18. All general terms in Part 1 also apply unless otherwise stated.

17. Children’s Tuition

Love Live Italian offers tuition for children through:

  • After-school clubs (held at schools or other venues)

  • 1-to-1 tuition

  • Small group lessons at the child’s home

17.1 Consent and Supervision

A parent or legal guardian must provide written consent before a child begins any course or lesson.

For in-home lessons, a responsible adult must be present during the session unless otherwise agreed in advance.

The home environment must be quiet, safe, and suitable for learning.

17.2 Safeguarding

All tutors working with children are required to have a valid Enhanced DBS check or equivalent safeguarding clearance.

Love Live Italian is committed to maintaining a safe learning environment and will follow safeguarding procedures for any concerns raised.

17.3 Media Consent

Photos and videos of children will only be taken with the written consent of a parent or guardian. These may be used for promotional purposes (e.g., website, social media, printed material).

Consent may be withdrawn at any time in writing.

17.4 Cancellations for Children’s Lessons

Cancellations must be made at least 24 hours in advance. Cancellations made with less than 24 hours’ notice may be charged in full.

If a teacher cancels, a makeup session will be offered at a mutually agreed time.
